Salary range: $52,000 to $72,000

Travel: Minimal travel as required to support customer meetings and mission requirements.

The Administrative Assistant helps ensure Military Legal operations run smoothly, accurately, and with the level of professionalism the mission demands. This position sits at the intersection of legal support, information management, customer service, and day-to-day mission execution. By keeping records organized, correspondence accurate, and administrative processes moving, the Administrative Assistant helps Military Legal personnel stay focused on the complex and time-sensitive work they are responsible for delivering. This role brings the attention to detail, sound judgment, and reliability needed to support an environment where accuracy matters and every action must be handled with care.

Day-to-Day Responsibilities:

  • Provide administrative and clerical support, including preparing correspondence, maintaining records, managing files, and developing reports and spreadsheets.
  • Draft, review, and process legal correspondence, reports, forms, and other documentation in accordance with Department of the Navy and Military Legal requirements.
  • Screen telephone calls, visitors, and incoming correspondence while directing inquiries to the appropriate personnel.
  • Maintain electronic and hard copy filing systems, databases, and office records to ensure accuracy and compliance with established procedures.
  • Conduct administrative research, compile information, and prepare summaries, reports, and responses for Government leadership and Military Legal staff.
  • Support workflow management by tracking production metrics, identifying administrative issues, and assisting with process improvements.
  • Utilize Microsoft Office Suite, SharePoint, and other Government software applications to support daily operations.
  • Coordinate with Government personnel and external organizations while providing professional customer service and administrative support.

Preferred Education/Degree:

  • Associate’s degree in business administration, Office Administration, Legal Studies, or a related field.

Preferred Knowledge, Skills and Qualifications:

  • Minimum of three (3) years of administrative experience supporting a Military Legal office or similar Department of Defense environment.
  • Knowledge of Department of the Navy correspondence standards and Military Legal administrative procedures.
  • Familiarity with the Military Personnel Manual (MILPERSMAN), JAGMAN, and Uniform Code of Military Justice (UCMJ).
  • Proficiency with Microsoft Office Suite, including Word, Excel, PowerPoint, Outlook, Access, and SharePoint.
  • Strong organizational, communication, and records management skills.
  • Ability to manage multiple priorities while maintaining accuracy and attention to detail.
  • Excellent customer service and interpersonal skills with the ability to interact professionally with military personnel, leadership, and external stakeholders.
