Background: Vectrona is seeking a Logistics Management Specialist (LMS) who will provide quality analytical and non-personal logistical services in support of the NAVSUP FLC Norfolk mission. This role is responsible for assisting with program implementation, business management, logistics supply chain management, and administrative support functions within a multi-service logistics support organization. The LMS will serve as an extended member of the NAVSUP FLC Norfolk team, providing expertise in logistics operations, documentation, correspondence management, and program tracking.

Day-to-day Responsibilities:

  • Assist in the management and enhancement of administrative processes, ensuring efficiency in organizational workflows. 
  • Maintain accurate command organizational records, including tracking and updating directives, instructions, notices, and Standard Operating Procedures (SOPs). 
  • Provide research and customer service support using the NAVSUP FLC Norfolk administrative library. 
  • Assist in managing and distributing official correspondence, job announcements, newsletters, and other organizational materials. 
  • Track and update NAVSUP FLC Norfolk instructions, forms, and notices while ensuring timely completion of monthly review reports. 
  • Serve as the Command’s mail custodian in the absence of primary or secondary custodians, ensuring compliance with mail security protocols. 
  • Maintain document archival systems and oversee retention/disposition in accordance with SECNAV regulations. 
  • Serve as the primary subject matter expert (SME) for automated administrative systems, assisting with data processing, presentations, timekeeping, and travel arrangements. 
  • Provide program and project support by compiling workload distribution data, tracking resource allocation, and ensuring adherence to quality control standards. 
  • Coordinate with internal and external stakeholders on special projects, ensuring smooth operations and effective communication across various teams. 
  • Assist in maintaining inventory levels for office supplies, obtaining vendor quotes, tracking orders, and overseeing material receipt and distribution. 
  • Support the Manager’s Internal Control Program (MICP) by collecting and reporting assessable metrics for compliance. 

Preferred Education/Degree:

  • Bachelor’s in Business Administration or Project Management

Qualifications:

  • 8+ years of experience in Navy logistics, administrative support, and program management
  • Expert in NAVSUP policies, DoD record management, and personnel coordination
  • Advanced proficiency in Microsoft Office 365, SharePoint, and DoD correspondence systems
  • Access Eligible
  • Proven ability to manage multiple functions simultaneously, ensuring seamless execution of all contract tasks.
  • Experience in assisting with the cradle to grave preparations and execution any military mission readiness matters.
  • Advanced training, and demonstrated knowledge on DoD Policy, forms, regulations interpretations, preferably Department of the Navy experience in Directives, Correspondence and Record Management.
